Our client, Advantage Remodel, located in New Berlin, WI is currently seeking an Office Manager/Bookkeeper.  This full time position is a key management position with an award-winning design-build remodeling firm which specializes in residential projects. The Office Manager/Bookkeeper is directly responsible to the partners.  The Office Manager/Bookkeeper will assist and support the company to ensure that all administration programs and policies are effectively and professionally maintained. Ideally, we are seeking an individual who is comfortable wearing many hats and not afraid to jump into the mix of things headfirst and take initiative.

Performs the following duties:

Administrative / Office
  • Provides administrative assistance to partners and others as required
  • Responsible for developing, implementing and updating written office policies and procedures
  • Open and close showroom each day. (7:30-4:30) Ensure showroom is clean and all display lights are turned on/off
  • Prepare “We Welcome” sign for daily showroom visitors
  • Greet visitors and callers, ascertain nature of business, and direct accordingly
  • Manage and maintain computer equipment and network
  • Manage and oversee updates and training for internal computer programs
  • Stay current on computer program updates and assists in troubleshooting with tech support
  • Oversee office inventory and responsible for requisition of office supplies
  • Collects and routes incoming mail on a daily basis
  • Maintains current list of vendors and subcontractors making sure that all insurance and other documents remain current
  • Pull weekly time cards, prepare, and email to partners for approval
  • Maintain and keep current, all licenses, association dues, and website fees
  • Works with accountant to maintain financial records and preparing monthly and annual reports and budgets
  • Monitor general liability, auto, worker’s compensation and health insurance policies. Handle insurance audits, get proposals for policy renewals and maintain all insurance needs
  • Once job is sold assists in preparing and filing for permits
  • Once job is complete, engage client with project completion procedure

  • Performs accounts payable accounting functions
  • Receives and processes vendor and subcontractor invoices
  • Prepare and delivers all payroll information to payroll company
  • On bi-weekly basis reviews all invoices to be paid with partners, prints approved checks and prepares for signature
  • Performs accounts receivable functions including billing, processing of invoices and record keeping within Q.B.
  • Receives checks and prepares deposit slips and adds information to Q.B.
  • Reconcile receipts and credit card charges
  • End of year 1099 preparation for trade partners and vendors

Required education:
