Position Description:
The Administrative Assistant will support the Accounting Department in a fast-paced Construction environment.

Primary Responsibilities:
  • Performs general clerical duties to include but not limited to: photocopying, faxing, mail distribution and filing.
  • Assist with new hire paperwork and benefit coordination.
  • Assist department managers with employee time entry for payroll.
  • File Appointment of Lien Agent for various jobs.
  • Pull reports, cost items, and supporting documents needed by the Estimators to write estimates for jobs.
  • Assist estimators and accounting department with various paperwork needed from customers in accordance with their job scope, acquire payment mailed to customers and/or get payments endorsed.
  • Creates and modifies various documents using Microsoft Office.
  • Maintains Outlook calendar(s) in current and accurate status.
  • Coordinates meetings and conference calls as needed.
  • Answer phones promptly and use good judgment to prioritize the distribution of messages in a timely manner.
  • Daily runs to post office and/or banks.
  • Performs all other related duties as assigned by Controller, CFO, or Owner.

  • High school diploma/GED
  • 3+ years of administrative support experience with increasing responsibility required
  • Familiar with Microsoft Word, Excel, and Outlook. Sage 300 software a plus.
