Vesta Pharmaceuticals is a NE Indianapolis full service contract manufacturer serving the dietary supplement industry.  They specialize in ingredients, contract manufacturing, packaging, research & development, and regulatory consulting.  We are assisting them in their search for an Office Manager.
 
The Office Manager will provide a full range of administrative, clerical and office support for upper management and the center in general. We are looking for a candidate with superior leadership skills and has a take charge attitude.   Must possess excellent written and verbal communication skills. Must be proficient in the use of computer programs such as Microsoft Word and Excel.
 
Responsibilities include but not limited to:
 
  • Providing first line of phone support for the center by directing calls to correct personnel, changing automated phone attendant, and acting as liaison with phone.
  • Customer support to all callers and visitors, directing as appropriate.
  • Provide appropriate service information to potential clients.
  • Conduct facility tours as appropriate.
  • Compose and deliver correspondence and mailings to parents, vendors and staff.
  • Maintain office appearance and general housekeeping, including assigning staff cleaning assignments on a monthly rotation, ordering supplies and assisting
  • Facilities Maintenance as needed.
  • Interface with vendors regarding office equipment.
  • Accept and sign for packages, distributing items as appropriate.
  • Assist with accurate time clock management with regards to punches an holiday/PTO entry.
  • Forward bi-weekly time sheets to Controller for processing.
  • Run errands as necessary.
  • Track, categorize and report center expenditures in accordance to organization budget.
 
Staff Support
 
  • Field incoming resumes/applications for potential candidates.
  • Communicate with President, HR Manager regarding hiring needs, offer letters, etc.
  • Manage and maintain center calendar center-based activities.
  • Attend staff meeting and present information when necessary.
  • Update monthly birthday bulletin board and coordinate monthly birthday celebration.
  • Facilitate company rewards program.
