Office Administrator

We have partnered with Wolfe and Associates to assist us in the search for our Office Administrator at our Lafayette location.

Requirements:

  • Proven experience in an administrative or office support role, preferably in the construction.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a focus on accuracy.
  • Knowledge of basic accounting principles (preferred). 
  • High school diploma or equivalent (associate's degree or relevant certification is a plus).

Responsibilities:

  • Assist in creating, organizing, and maintaining project documentation, including contracts, permits, and work orders.
  • Ensure accurate and timely filing of documents, both electronically and physically.
  • Serve as a point of contact for internal and external inquiries, directing them to the appropriate team members.
  • Maintain contact lists and directories for employees, clients, and suppliers.
  • Help schedule appointments, meetings, and project-related activities.
  • Support the coordination of project timelines and deadlines.
  • Manage office supplies and equipment, ensuring availability for daily operations.
  • Assist in maintaining a clean and organized office environment.
  • Oversee the efficient handling of incoming and outgoing communications (phone calls, emails, mail).
  • Assist with onboarding new employees
  • Act as a point of contact for clients, addressing inquiries and providing exceptional customer service.
  • Assist with basic bookkeeping tasks, such as data entry and invoice processing.
  • Prepare and send out billings for the group
  • Support the administrative team with various tasks as needed.
  • Utilize office software, including Microsoft Office Suite and project management tools (Procore)
  • Help maintain and update digital files and records.
  • Assist in maintaining safety records and documentation, ensuring compliance with safety regulations.
  • Maintain safety supplies at adequate levels to support projects.
